The Windermere Hydro Hotel, Helm Road, Bowness
Tuesday March 4th and Wednesday March 5th 2008
The Clauses following are the conditions under which the Lakes Hospitality Association (LHA) contract with you to supply space at the above exhibition. Your signature on the booking form confirms your acceptance of the following conditions:
1. EXHIBITORS GOODS
The LHA and its officers do not under any circumstances hold themselves responsible for any loss or damage to any goods sent or received. All property and any other exhibition or other goods or materials on the exhibition premises will be at all times the sole responsibility and risk of the Exhibitor and neither the LHA nor The Windermere Hydro Hotel will be liable for any loss or damage whatsoever.
2. INDEMNITY
In the event of any person in the Exhibition sustaining loss, injury or damage through any act or default of an exhibitor, or through any defects in their exhibits the exhibitor shall indemnify both the LHA and the Hotel and their officers from and against all actions, suits, claims and demands arising therefrom.
3. DAMAGE TO PROPERTY
Exhibitors are not to damage or interfere with either the structure or decoration of any part of the Hotel or associated display space provided. No flammable materials shall be used for decoration and all stands may be subject to a visit by the Fire Officer of Cumbria County Council to ensure compliance.
4. COOKING ON STANDS
Only Exhibitors who have obtained the LHAs prior approval will be allowed to cook on the stand. All such exhibitors who use inflammable oils, spirits etc on the stand must provide on their stand one fire extinguisher and a fire blanket. These stands will be visited by the Fire Officer to ensure compliance. Such stands will be located in specific areas of the Hotel.
5. STAND SPACES
The LHA will reserve exhibition space following receipt of the signed booking document and the £125.00 booking deposit. Space will be reserved until the balancing payment is received and, provided that this is received by 1st February 2005, the space will be considered booked. Actual allocation of spaces will be made after this date and LHA reserve the right to adjust the final floorplan layout to meet demand.
If payment is not received in full by 1st February 2005 the stand will be made available to those on the waiting list. No stands are to be sublet. All stands are to be manned during all opening hours of the Exhibition.
6. ERECTION AND DISMANTLING
The Hotel will be available for stand erection from 12.00hrs until 20.00hrs on Monday 7th March and until 09.00hrs on Tuesday 8th March. Dismantling will not be permitted until 17.00hrs and must be completed by 21.00hrs on Wednesday 9th March. No goods or materials of any description are permitted to remain on the site after this time unless by written prior agreement from the hotel management.
7. EXHIBITORS STAFF
It is a condition of hire of the premises that all persons on the site wear name badges to distinguish them from the visiting public. Exhibitors must provide all their staff with suitable name badges, which must be worn at all times. All vehicles must be parked in the designated off-premises areas advised by LHA staff on duty . Following setting up Exhibitor car parking will be available at a local car park free of charge. There will be no provision for exhibitor car parking at The Hydro. Smoking is only permitted in the licensed bar area.
8. FOOD DISPLAY
All perishable food must be displayed under refrigeration and all foods displayed must be in accordance with Environmental Health regulations. SLDC Environmental Health Officers will be invited to visit all stands during the Exhibition to ensure compliance.
9. FACILITES
One double 13amp socket outlet will be provided on each stand where requested. Extra sockets must be ordered on the booking form. ONLY APPROVED extension cables or multi socket arrangements will be permitted. Hot and cold water and washing up facilities will be provided in the Hotel kitchen. Floor protection must be provided by stands with refrigeration or cooking equipment.
10. CANCELLATION OR INTERRUPTION
No claims will be entertained for interruption of water or electricity supplies. No claims will be entertained for closure of the Exhibition due to circumstances beyond the control of either the LHA or the Hotel.
11. SIGNAGE
A charge will be levied for any banners,
A boards or stand related signage displays outside the Show Venue for the duration
of the show
Deposits are non refundable unless cancellation is received in writing prior
to 1st February 2007
PLEASE ENSURE THAT YOUR STAFF ATTENDING THE EXHIBITON ARE AWARE OF ALL THE CONDITIONS OF THIS CONTRACT.
